Short version: your information stays on your computer, unless you press an AI button.
What stays on your computer
Everything you add to the app is stored on your own computer, and we can’t see it. That includes staff and leave, meeting recordings and transcripts, saved minutes, and any spreadsheet you use with Duplicate bills or Compare two lists.
Meeting transcripts are made on your computer. The speech model is downloaded once (about 75 MB). Your recordings are never uploaded.
What the AI tools send
AI tools only send something when you press their button, and each one says exactly what it sends next to the button. It goes to the Mostly Admin AI service, which passes it to Claude, an AI made by Anthropic, to read and sends back the answer. We don’t store or log what you send.
- Note taker: the words of the transcript (not the recording) and the meeting’s name, when you press “Write the minutes”.
- Scan to spreadsheet and Receipts: the files you add.
- Formula helper: what you type and, only if you add a spreadsheet, its column headings (and three example rows if you tick that box).
- Spreadsheet tidy-up: a summary of each column (counts, and up to five example values unless you untick that), never the whole sheet.
- Bank details check: the documents you add and the supplier name if you type one. The account number you have on file is checked on your computer and never sent.

Counting free uses
To count free AI uses, the app creates a random ID when it’s installed. It isn’t linked to your name or email. To stop misuse, the service also counts uses per internet address per day, stored only as a scrambled (hashed) value.
